Single Pupils
To add a single pupil to the system, navigate to Pupils > Pupil List.
Once in this section, click on Add New Pupil this can be found in the top left corner.
A box then should appear.
Before adding a new pupil, check that they have not already been entered on to the system by searching for them by their surname. If the child has been archived, you may follow the following guide.
Alternatively, click on Add new to start inputting details for the new pupil.
Fill out the pupil details and press Save.
The child’s record now exists for further information to be added via the Edit tab of their profile.
Fast Add
Navigate to Pupils > Pupil List.
Click on Fast Add.
A table appears in which you can enter more that one pupil’s basic information: Name; DoB; Status; Year Group; Learner Enrolment Status; and Start Date.
The Status dropper allows you to select Pre-Ads (pre admissions) as well as Live (current) (pupils).
The Learner Enrolment Status allows you to select Current, Guest and Dual Registered.
Go to Pupils > Pupil List.
Click Fast Add.
A table will show up where you can input multiple pupils' basic information: Name, Date of Birth (DoB), Status, Year Group, Learner Enrolment Status, and Start Date.
The Status dropdown lets you choose between Pre-Ads (pre admissions) and Live (current) pupils.
The Learner Enrolment Status lets you choose between Current, Guest, and Dual Registered.
CTF Import
You can bring in pupils' information using the Import Wizard.
Go to Admin > Import.
Click Choose File and find the CTF file you want to upload.
After selecting the file, click Upload. This will take you to a Summary page for the CTF you're adding.
If needed, you can unselect elements within the CTF, but by default, the system will try to load all elements from the file.
Click Continue at the bottom of the Summary page to add the CTF data to Pupil Asset.
Note: If you've previously added a pupil to the system and want to fill in more of their information with a CTF, Pupil Asset matches based on Firstname, Surname, Date of Birth (DoB), and UPN (if available). If the names/dates in the system don't match the import file, a new pupil will be made. Pupils that match are shown in Green, while new pupils are in red. The last column indicates where the pupils will be imported.
CSV Import
First, create the excel document with the pupils’ details (First name, Surname, Date of Birth etc.).
Now go to Admin > Import and choose the file you’ve created.
If you are adding pre-admission pupils for the following year, give them a Start Date for the next academic year and Pupil Asset will automatically add them as Pre-Admission pupils.
